When you access our website, your browser automatically transmits information to the server logs. This data includes:

The legal basis for this processing is Art. 6 (1) lit. e GDPR in conjunction with § 3 BDSG (performance of a task carried out in the public interest). In accordance with legal requirements, a Data Processing Agreement (Auftragsverarbeitungsvertrag – AVV) has been concluded with IONOS.

3. Registration, Accounts, and Contact Forms (Forminator, Ultimate Member & Contact Form 7)

3.1 Scope of Data Processing for Event Registrations (Forminator)
On our website, we offer users (participants, spotters, media, and press representatives) the option to register for the international Galileo SAR Meet 2027 using the “Forminator” plugin. The data entered into the input masks is transmitted to us and stored. This includes contact details, organizational affiliation, and any additional mandatory fields required for event management and military base security clearances.

3.2 User Accounts for Main Coordinators (Ultimate Member)
For authorized main coordinators, we provide a secure internal portal via the “Ultimate Member” plugin. During registration and login, account credentials (username, email address, and passwords) are collected and stored within our secure WordPress database to manage access permissions to the restricted internal areas.

3.3 General Inquiries via Contact Form (Contact Form 7)
If you contact us via the general contact form provided on this website, the data entered in the form fields (including your name, email address, subject, and message) will be processed solely to evaluate, route, and answer your specific inquiry.

3.4 Data Flow and Storage Method
After submitting any official form, registration, or contact request on this website, your personal data is processed using two secure parallel methods:

  1. Local Database Storage: Registration and account data are saved directly in the encrypted WordPress database hosted on our secure IONOS server environment.
  2. Email Routing: For event registrations and general contact form inquiries, the system simultaneously generates an automated, secure notification email and routes all submitted data directly to an internal, protected inbox of the responsible military unit (Bundeswehr).

No personal data will be transferred, sold, or shared with unauthorized third parties outside the official organizing units.

4. Rights of the Data Subject

As a data subject, you have the following rights under the GDPR:

  • Right of access (Art. 15 GDPR)
  • Right to rectification (Art. 16 GDPR)
  • Right to erasure / Right to be forgotten (Art. 17 GDPR)
  • Right to restriction of processing (Art. 18 GDPR)
  • Right to data portability (Art. 20 GDPR)
  • Right to object (Art. 21 GDPR)

You have the right to withdraw your registration or consent to data processing at any time. Upon withdrawal, all personal data stored during the registration process will be immediately deleted, unless compelling statutory, public interest, or military security regulations prevent such erasure. To exercise your rights, please contact us at: contact@sarmeet.de.

You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR) if you consider that the processing of your personal data infringes the GDPR. The responsible authority for the federal public sector in Germany is the Federal Commissioner for Data Protection and Freedom of Information (BfDI).
